Role Overview: 

As the Distribution Center Admin Manager, you will play a crucial role in efficiently overseeing the day-to-day operations of the warehouse office staff. Your key responsibilities include managing office operations, ensuring workplace safety, overseeing materials and costs, managing suppliers, and prioritizing employee well-being. In this role, you will directly supervise a team comprising warehouse coordinators and other departmental employees, supporting the overall goals of the distribution center management team.

 

Responsibilities:

  • Assist in the hiring, training, and performance evaluation of warehouse department staff.
  • Ensure accuracy of all documentation related to inventory and shipping/receiving.
  • Oversee the maintenance and upkeep of warehouse equipment and facilities.
  • Provide excellent customer service to both internal and external customers.
  • Resolve any customer complaints or concerns related to the warehouse department.
  • Continuously identify areas for improvement and work with management to implement changes to increase efficiency and profitability of the department.
  • Ensure operational excellence in all warehouse areas. 
  • Ensure efficient operations of warehouse management systems. 
  • Ensure processes and procedures are followed appropriately, efficiently, and safely in the warehouse. 
  • Maintain and organize all areas of warehouse so appearance is acceptable for our visitors, vendors, and customers.
  • Ensure proper training of new and assigned team members as it relates to their essential job functions.
  • Motivate, coach, and train respective team leaders and team members providing both informal (on floor teaching moments) and formal job performance feedback. Address and discuss disciplinary actions, as necessary.
  • Monitor work performance for compliance with company and department policies, including but not limited to attendance/punctuality, performance standards, safety, production, etc.
  • Work closely with and provide direction to the facility coordinators.  Provide backup to these positions in their absence, having the ability to perform all required functions of these roles.
  • Proficient with Netsuite / Deposco / Google / Microsoft products as a subject matter expert (and any other necessary software).
  • Promptly and properly communicate any concerns or recommendations regarding the company routing program.
  • Review payroll, submission, and sign-off responsibility, reporting concerns to distribution center management.
  • Must be able to multi-task and stay focused on highly complex processes with large amounts of data, providing high-level positive execution.
  • Reviews, discusses, and positively executes the plans provided by distribution center management.
  • Must be able to work with all departments in a learning capacity, building a high-level competency to execute.
  • May handle phone calls to answer any questions and give advice or direction on any issues or problems that arise.
  • Ability to recognize problems at an early stage and be able to communicate and troubleshoot to resolve the problems.
  • Good communication skills are essential to keep employees, managers, and supervisors fully apprised of situations that arise.  When necessary, will need to contact Customer Service, Sales, Accounts Receivable, or other departments to resolve problems or provide information.
  • Investigate shipping errors and shortages as and if needed.
  • Communicate with distribution center management and vendors to expedite equipment or facility repairs and PM work.
  • Investigate inventory issues and provide insight as necessary.
  • Complete daily reporting summaries and spreadsheets as needed.
  • Develop facility-related MSDS sheets and training materials as needed.
  • Completes accident and injury reports and participates in the investigation process as needed.
  • Facilitate communication between the day shift and the night shift managers on any needed communication as well as distribution center management communication as directed.
  • Become familiar with the night shift start-up process and the overall night operation.
  • Learn and maintain a general working knowledge of all overnight warehouse functions and maintain ongoing communication with the night management team.
  • Maintains a safe and clean working environment by complying with procedures, rules, and regulations.

Qualifications:

Education and Experience

  • Education: High School Diploma or equivalent required.  An associate degree or greater is preferred.
  • Experience: Minimum (2-5) years of relevant work experience is required.
  • 2+ years of warehouse operations/management/leadership experience is required.
  • Partner and establish strong working relationships with other departments that provide support to the overall operation.
  • Proficient in Microsoft Office software including Excel and Word.
  • Excellent verbal and written communication skills.

Certificates, Licenses, Registrations or Other Requirements

  • Must be at least 18 years of age.

  • Ability to perform physical requirements of the position with or without reasonable accommodations.

  • Strong leadership skills.
  • Excellent time management skills.
  • Excellent interpersonal skills to be able to work effectively with all members of the organization.
  • Ability to multitask across several projects.
  • Experience with warehouse operations is strongly preferred.
  • Knowledge of, and experience with WMS systems is a plus.
